The Edinburgh International Trauma Symposium and Instructional Course
The Edinburgh International Trauma Symposium and Instructional Course is a standout example of how the integration of hybrid elements can enhance the delivery and reach of medical conferences. Spanning four days, this event has evolved from a fully virtual format during the pandemic to a dynamic hybrid model that combines physical presence with virtual accessibility. Here’s a deep dive into how we, at MediviewHD, ensured the event’s success through meticulous planning and cutting-edge technology.
Versatile Venue Setup
For the 2022 iteration, we created two identical conference rooms, each featuring mirrored stage sets with custom printed branding, encompassing all aspects of AV production—from graphics and audio to lighting and rigging. This symmetry in design not only maintained a cohesive aesthetic but also facilitated seamless transitions between different segments of the symposium.
Adapting to Challenges with Remote Presentation Facilities
Recognising the challenges posed by external factors such as train strikes, we provided a remote presentation facility via Zoom. This ensured that all scheduled presenters could participate, regardless of travel constraints, thus maintaining the integrity and continuity of the instructional course.
Interactive Elements to Enhance Delegate Engagement
To foster interactivity, we incorporated Sli.do voting, allowing delegates to participate actively in the proceedings. This interactive tool enabled real-time engagement and provided speakers with instant feedback, enhancing the overall interactivity of the event.
Centralised Speaker Preview Facility
A centralised Speaker Preview facility was instrumental in ensuring that all presentations and media content ran smoothly. Our dedicated Speaker Preview technicians worked closely with speakers to preload and fine-tune their presentations, ensuring technical perfection during the live sessions.
Innovative Use of Physical Space
A highlight of the event was the transformation of the conference setup on day three. During the prestigious guest lecture, we removed the partition wall between the two conference rooms, creating a singular large stage. This dramatic alteration provided a visually striking setting that heightened the impact of the session as delegates returned from a coffee break.
Post-Event Accessibility and On-Demand Viewing
Following the event, all presentation recordings were meticulously edited and uploaded to the client’s on-demand Talking Slides platform. This allowed not only the attending delegates but also those who could not attend in person to review the sessions at their convenience, further extending the educational reach of the symposium.
The Edinburgh International Trauma Symposium and Instructional Course is a prime example of how traditional medical conferences can be transformed through hybrid event production. By seamlessly blending physical and virtual elements, we ensured that the event was not only a success in terms of content delivery but also in terms of accessibility and participant engagement.
As hybrid event specialists, we pride ourselves on delivering a consistent level of service, no matter the location, ensuring that every event we manage is both impactful and memorable.
